Role Overview
We are seeking a proactive and detail-oriented Virtual Assistant to support project management
efforts and dive into opportunities and roadblocks in real-time across all ecommerce growth
initiatives (paid media | affiliate | Amazon). The ideal candidate will be highly organized, skilled
in cross-functional coordination, and adept at leveraging project management tools like ClickUp
to maintain seamless operations. This individual should have a proven ability to anticipate team
needs, adapt quickly to changing circumstances and diverse working styles, think critically, and
align with leadership, demonstrating flexibility, openness to constructive feedback, and a focus
on effective, solutions-oriented outcomes. This role is critical in ensuring marketing and growth
strategies are executed efficiently while identifying and addressing roadblocks before they
impact performance.
Required Skills and Qualifications:
● Project Management Expertise: Strong organizational skills with experience in project
tracking, task delegation, and follow-ups.
● Technical Proficiency: Familiarity with ClickUp or similar project management tools;
working knowledge of ecommerce platforms like Shopify, Amazon, and affiliate
marketing networks.
● Communication & Problem-Solving: Excellent written and verbal communication
skills; ability to proactively identify and address issues.
● Detail-Oriented, Thorough & Proactive: A self-starter who takes initiative and ensures
smooth execution of tasks.
● Time Management: Ability to prioritize multiple tasks, manage deadlines, and maintain
efficiency in a fast-paced environment.
● Openness to feedback: actively works to understand and align with new perspectives,
refining their approach based on guidance and new information.
Preferred Qualifications
● Experience supporting marketing or ecommerce teams in an administrative or
coordination role.
● Background in digital marketing or ecommerce operations.
● Strong analytical skills and familiarity with performance tracking tools.
Key Responsibilities:
Project Management & Coordination
● Attend and document key marketing meetings, managing agendas, capturing essential
notes, and distributing detailed recaps with action items to drive alignment and execution
● Oversee and track all ecommerce growth initiatives, ensuring deadlines and deliverables
are met.
● Act as the central point of contact for project updates, ensuring alignment between
teams and vendors.
● Monitor ClickUp dashboards, update tasks, follow up on action items, and maintain
project transparency.
● Identify and anticipate potential risks, flagging and escalating issues in real-time to
prevent delays.
Real-Time Issue Resolution & Communication
● Monitor workflows and proactively identify bottlenecks or inefficiencies.
● Communicate with internal teams and external partners to address issues and provide
solutions swiftly.
● Ensure smooth execution of growth strategies by resolving operational challenges as
they arise.
● Act as a liaison between different teams, ensuring seamless collaboration and
information flow.
Cross-Functional Support
● Facilitate communication between marketing and operations teams to maintain project
momentum aligned with product supply.
● Coordinate vendor onboarding, relationship management, and performance tracking.
● Gather and consolidate data from different channels for reporting and insights.
